We are looking for a Payroll Administrator / HR Advisor

We are seeking an engaged and driven Payroll Administrator / HR Advisor who wants to be part of an international company and support both payroll and HR processes for the Finnish operations. In this role, you will work closely with HR and payroll teams across the Nordics, as well as be part of the local HR team in Solna. We prefer that you work on-site at the office.

About the position

As a Payroll Administrator / HR Advisor, you will have a combined role where you will allocate approximately 50-60% of your time to payroll management and the remaining time in an HR consulting role. You will play a key role in managing payroll and HR processes for Finland, ensuring compliance with applicable laws, and serving as an important link between HR, the payroll department, managers, and employees in Finland.

This is a consulting assignment where you will be employed by us at Poolia but work at our client company. The assignment is for six months with the possibility of extension, and we are looking for someone who can start immediately.

Your main responsibilities

Payroll Management (50-60%)

• Process payroll-specific transactions such as timesheets, direct deposit options, commissions, pensions, and benefits.
• Conduct payroll runs and manage payroll for one or more organizational units.
• Assist in the creation, transfer, and processing of data files related to payroll.
• Perform random calculations and adjustments of pay slips.
• Prepare and distribute payroll reports to clients and management.
• Handle regulatory reporting, garnishment decisions, and tax-related issues.

HR Consulting and Administration (40-50%)

• Drive labor law issues for Finland and ensure compliance with laws and regulations.
• Communicate with Finnish employer organizations and authorities.
• Participate in local union negotiations.
• Support onboarding and offboarding of Finnish employees, including information on time reporting, overtime, travel time, and vacation.
• Answer questions from managers and employees regarding labor law and collective agreements.
• Administer the benefits portal (Edenred) and ensure updates of personnel information.
• Update country-specific HR policies and guidelines.
• Participate in HR-related projects and perform HR administrative tasks as needed.

Who are you?

• Fluent in Finnish and English, preferably also Swedish.
• Solid experience in Finnish labor law and labor market regulations.
• Experience in payroll management, preferably in a global environment.
• Knowledge of labor and tax law, social security, and regulatory reporting.
• Experience in HR administration and/or HR Shared Services.
• Experience with payroll systems such as ADP, Oracle, Workday, Ceridian, or Kronos is a plus.
• Strong analytical skills and attention to detail in payroll and HR work.
• A service-oriented attitude and good communication skills.
• Good knowledge of data management and HR systems.
